Position Summary -Explain in 3 – 5 sentences the general purpose of the job

Supervise and manage 2 admin staffs to provide administrative supports to China sales operations including front desk reception, receiving and sending mails, travel arrangement for all sales staffs, manage office supplies, logistics support of overseas visitors, manage mailing sales collaterals (sales brochures, catalogs), office cleaning and maintenance, and consolidate monthly reports.

Major Accountabilitystate 3-4 core areas of job responsibility

•             Provide admin support to VP North Asia including, but not limited, to travel and meeting arrangements.

•         Oversee all office admin activities including, but not limited to office reception, mailing, travel arrangement for staff, cleaning.

1.        Support and assistance to Vice President North Asia - making arrangement for travels and meetings. Provide logistics support to overseas visitors - visa application, hotel and transportation arrangement, etc.

2.        Supervise and manage 2 admin staffs to provide admin services to Shanghai office: Provide travel support and assistance to all sales and culinary staffs, Front desk reception, Receiving and sending mails, Purchase and manage office supplies, Office cleaning and maintenance and manage company drivers to provide transportations services.

3.     Provide support and assistance to sales operations: Mailing sales collaterals: receiving and sending out sales literatures, catalogs, spec sheets, promotional items. Consolidate monthly sales reports.

Specialized Skills, Knowledge and Abilities – Include Certifications, Licenses and software and/or equipment used to perform the job

•         University degree or above preferably with secretarial training

•         Minimum 5 years solid secretary experience and minimum 1-2 years of executive secretary in multi-national companies.

•         Working experience with Expats are highly preferred

•         Excellent oral/ written communication skills in both English and Chinese.

•         Detail oriented

•         Demonstrate a high degree of knowledge, competence and secretary skills, and operate with considerable independence.

•         Strong word processing skills: Word / Excel/ Power Point

•         Honest and upright person, comply with the conduct of professional ethics
