Job Description

This position has the responsibility for providing clerical, receptionist and administrative support to the Director of Operations and managers.  

ESSENTIAL DUTIES and RESPONSIBILITIES include the following. Other duties may be assigned.


•         Schedules meetings and organizes the VP’s calendar, in addition to coordinating other executive staff calendars and meetings

  • Arranges travel logistics for the Director and other executive staff as required
  • Assists in preparing presentations
  • Assists in the coordination and planning of Monterrey related events and projects
  • Drafts, prepares, copies, and distributes files, reports and/or documents of a routine or sensitive nature for the Director
  • Prepares expense reimbursements in a timely manner
  • Covers the front reception desk for breaks
  • Maintains a comprehensive administrative filing system for the Director’s Office
  • Follows-up with various correspondence
  • Handles telephone and email inquiries and responds appropriately
  • Attends meetings, as assigned to record minutes
  • Prepares agenda packages and minutes for distribution
  • Conducts in accordance with the Company Code of Ethics Policy at all times.
  • Fulfils the financial controls and risk management responsibilities inherent in the position.

Job Requirements

  • Microsoft Office – Windows Platform (Word, Excel, PowerPoint, Outlook)
  • High Proficiency for Word and Excel
  • Experience preparing meeting agendas, minutes, letters and memos in an error-free manner
  • Excellent organizational skills
  • Able to multi-task and take on projects as needed
  • Able to organize, maintain focus and follow up on projects independently
  • Maintains a high level of energy and a positive attitude
  • Able to perceive the needs of the President and the team
  • Able to maintain a dependable and flexible work schedule
  • Has excellent oral and written communication skills
  • Able to relate with tack and diplomacy
  • Maintains a professional appearance at all times
  • Has a minimum of 3 years experience in a similar position as Administrative Assistant
  • Bi-lingualism would be a bonus
